WhatsApp for academies: how to enroll more students

How academies and training centers use WhatsApp to answer leads, qualify intakes, and close enrollments without losing the weekend.

An academy lead does not call. They write on WhatsApp at 22:00, ask for price, the evening group, and whether there is a seat. If you reply on Monday, they already enrolled somewhere else.

WhatsApp for academies is not “put the number on the ad”. It is a process: first reply, qualification, trial or visit, payment. If that lives on each advisor’s phone, you do not have a channel. You have luck.

What breaks today

  • Each recruiter uses their number. The director never sees response times.
  • The lead from Meta Ads or the website waits. Nobody is on duty.
  • Intakes are announced via status or an Excel plus copy-paste.
  • When an advisor leaves, they take 90 half-closed chats with them.

That is not fixed with “more templates on the phone”. It is fixed with a shared inbox and a company number.

The flow that actually closes enrollments

  1. The lead writes (ad, web listing, referral).
  2. AI or a template replies in seconds: intake, format, ballpark price.
  3. Qualification: this course or the intensive? Financing? Start date?
  4. Assignment to the advisor for that campus or that intake.
  5. Appointment or trial on the calendar. Reminder the day before.
  6. Close and an “enrolled” tag. The CRM finds out on its own.

Campaigns without burning the number

A new intake is not a free-text blast to 2,000 former students. You need an approved template and opt-in. If you skip that, Meta throttles the send.

Use segments: “interested in 2026 civil-service exams”, “English B2 alumni”, “did not close in March”. WhatsApp marketing works here if you do not fire at the whole base.

What the panel must have

  • One number, several advisors, internal notes (“asks for a sibling discount”).
  • Kanban: new → qualified → trial → enrolled.
  • Templates per intake, not a single “hello”.
  • Integration with the CRM or campus, if you already use one.
