WhatsApp for clinics: appointments and reminders people actually read
How private clinics use WhatsApp to confirm appointments, send reminders, and cut no-shows without flooding reception.
In a private clinic a no-show is expensive: empty slot, idle clinician, an angry waitlist. You call, you send SMS, sometimes an email. The channel the patient actually opens is WhatsApp.
WhatsApp for clinics is confirming the appointment when it is booked, reminding the day before, and rescheduling without reception chaining eight calls.

Which messages are worth sending
- Confirmation on booking: date, time, site, how to get there.
- Reminder 24 h before. One tap. Not a speech.
- Reschedule: “Does Thursday at 10 work?” with two slots.
- Prep: fasting, paperwork, do not come if you have a fever.
- Short post-visit: “If it hurts more than X, write”. No diagnosis over chat.
Those are utility templates, not marketing. The patient already gave you the number for the appointment.
Reception cannot be the only bot
If there is only one person at the desk, at 14:00 WhatsApp fills up and the 16:00 slot is still unconfirmed. A shared inbox lets two receptionists see the same thread. AI can offer slots and hand off to a human if there is pain or urgency.
Do not put a “press 1 for appointments, 2 for invoices” menu in front of a patient who writes “it hurts”.
Appointments and the 24-hour window
If the patient writes to you, you reply in free text inside 24 hours. The next-day reminder, if the window has already closed, goes out as a template. From 1 October 2026 Meta also bills utility and service inside that window (with 1,000 free service messages per number). Do not skip the reminder: a no-show costs more than €0.0166. What not to do
- Send Botox promos to the whole base without marketing opt-in.
- Write the diagnosis or sensitive results in a shared thread that is badly configured.
- Keep the doctor’s WhatsApp on her personal phone.
