What WhatsApp Business API is, how it differs from the app, what it costs, and when to switch. A clear guide for sales teams.

WhatsApp Business API is Meta’s official way for a company to run WhatsApp at scale: several agents, automations, campaigns, and a history that does not live on a phone. It is not another app. It is a channel you connect to a platform and operate from a web inbox.

What WhatsApp Business API actually is

Meta draws three ways to use WhatsApp:

  • Personal WhatsApp: one number, one phone, no business tools.
  • WhatsApp Business app: business profile, catalogue, basic labels. Still tied to a device.
  • WhatsApp Business API (Cloud API): the number is registered in Meta’s cloud. You do not “open WhatsApp”: you send and receive through a provider.

What you need to open the API

In 2026 the usual path is Cloud API through a partner. You need:

  1. A real business (or a sole trader) and a Facebook Business Manager.
  2. A phone number that can receive a verification call or SMS. It can be the one you already use: either connect it in coexistence (the app stays) or unlink it and go API-only.
  3. A display name Meta will approve (your brand, not a slogan).
  4. A partner that gives you the panel, the signup and support. ManyContacts is an official Meta partner.

Signup is not instant. Budget a day for Business Manager, number verification and the first template. A serious partner walks you through it; you should not fight Meta’s docs alone.

What Meta charges

Meta charges per delivered message, not per 24-hour conversation (that model ended in July 2025). Each marketing, utility or authentication template has a rate based on the recipient’s country. From 1 October 2026, service messages (free-form replies inside the 24-hour window) are also billed after 1,000 free messages per month per number.

What the platform charges

A “free” API does not exist in practice: you pay Meta for messages, or you pay for a tool, or both. What you do avoid is the hidden cost of leads sitting on personal phones.

Limits you should know

The API is not WhatsApp without rules.

  • You cannot write first to a stranger with free text. You need an approved template or the customer must have written to you.
  • The 24-hour window limits free-form replies. Outside it, another template.
  • Campaigns need opt-in. Buying lists and blasting templates is the fastest way for Meta to restrict the number.
  • One number, two paths. Either coexistence (app + API at once) or API-only (you unlink the app). A ghost session with no choice does not work.

If your operation is “cold-write 10,000 numbers from a spreadsheet”, the API does not legalise that. It gives you the official channel for people who already gave you permission.

When you should switch

Move to the API if any of these is true:

  • More than one person is handling the same WhatsApp.
  • You want campaigns (reminders, carts, intakes).
  • You need AI that qualifies at night and at the weekend.
  • A salesperson left and took the pipeline on their phone.
  • You want chat inside the CRM.

What a day on the API looks like

The customer writes to the same number as always. The chat shows up in the panel, with history, tags and an owner. A colleague can take it. AI can ask the first three questions and hand over a hot lead. You see response times and the kanban.

That is what you do not see in the app: ownership of the data. The number belongs to the company, not to whoever holds the phone.

Common mistakes when buying the API

Picking a provider only on message price. Meta’s cost is the same. The difference is the panel, the onboarding, and whether the team actually uses it.

Registering a number that is still on the app without choosing a path. Either coexistence (the app stays) or you unlink for API-only. If you do not choose, verification fails or you cut service halfway.

Not preparing templates. Without templates there are no campaigns and no re-engagement outside the window. Ask for 4 or 5 on day one: welcome, reminder, follow-up, utility.

Thinking the API replaces people. It replaces chaos. Closing is still human when the customer is ready. AI qualifies; it does not have to replace the salesperson.
