WhatsApp for car dealerships: sell cars with AI and stock

How a dealership uses WhatsApp: team inbox, AI tied to stock, lead qualification, and test-drive appointments. Without 15 salespeople’s phones.

WhatsApp for car dealerships is not “have the salesperson answer the ad from their phone”. It is a system: the lead comes in, the AI talks to real stock, the test drive is booked, and the team sees the pipeline. If you currently have 40 live chats on 12 phones, you are selling blind.

The product landing is on dealerships / automotive. This is the how.

Where the funnel breaks today

The ad on Milanuncios, Wallapop, Coches.net or Meta Ads says “write on WhatsApp”. The customer writes at 21:40. The salesperson is in a handover. On Monday the car is gone, or the customer bought elsewhere.

Other classics:

  • Each salesperson quotes a different price on the same Golf.
  • The sales manager asks “what about that Tiguan one?” and nobody knows.
  • The salesperson leaves for a competitor with 200 chats.
  • The DMS does not find out until someone copies the phone by hand.

None of that is a “more ads” problem. It is a channel problem.

The model that actually scales

  1. One number (or one per site) on WhatsApp Business API.
  2. Shared inbox with shifts: internet, showroom, aftersales.
  3. AI agent tied to stock: make, mileage, price, financing.
  4. Kanban: new → qualified → visit → offer → delivered.
  5. Sync with Walcu or another DMS.

The customer still talks to “the dealership”. Inside, the lead is not owned by an IMEI.

What the AI should ask (and what it should look up)

Useful questions:

  • Model / max budget.
  • Cash or finance.
  • Trade-in (yes/no, make and year).
  • Postcode or preferred site.
  • Window for a test drive.

Stock lookups (not invented):

  • Units that fit.
  • Published price.
  • Whether it is reserved.

The AI must not invent a €2,000 discount or confirm a Saturday delivery if the workshop is closed. That is when it hands over the chat with a summary.

Does the AI sell alone? It qualifies and books. The salesperson closes valuation and finance. That is what the landing asks for: AI + stock + kanban, not a decorative bot.

Templates a dealership actually uses

  • “The {{1}} you saw is still available. Does {{2}} work for a test drive?” (marketing / re-engagement).
  • “Tomorrow at {{1}} we will wait for you at {{2}} with the {{3}}.” (utility).
  • “Your finance offer is ready. Shall we review it here or on site?” (utility or marketing, depending on copy).

Do not fire a “deal of the month” template at the whole 2018 base. You burn the number and the brand manager will not thank you.

Metrics for an internet department

  • First reply: < 3 min (AI brings it down to seconds).
  • % of leads with an appointment in 24 h.
  • % of visits that show up.
  • Response time on the weekend.
  • Orphan chats (no owner for > 4 h).

If you do not measure the weekend, you are only measuring when the team is already at the dealership.

Showroom and the street: the phone does not disappear

The salesperson showing the car still needs a phone. The difference is which app they open: the ManyContacts panel (same inbox) or their personal WhatsApp. The second recreates the silo.

Stock photos, location, spec PDF: from the company chat. The customer does not have to “add Juan” in private.

Aftersales is WhatsApp too

ITV, parts, “is the car ready?”. If aftersales uses another number with no inbox, you are back to chaos in six months. Either tags and teams on the same number, or a second number also on the API. Not a reception Android with no backup.

Ads and WhatsApp: the click is not the sale

Paying per click to a number that sits silent on a phone is burning the internet budget. The ad should go to the API number. UTM or ad id in the first message, if your stack allows it, so you know which portal brought the lead.

If the portal only lets you put a phone, make it the official one. Then the AI asks where they came from (“did you see the T-Roc ad?”). It is not perfect. It is better than 14 salespeople saying “I don’t know, write to mine”.

Valuation and trade-in

The AI can collect make, year, mileage and photos. It should not spit out a valuation figure if there is no engine behind it. “We will look at it at the visit with the manager” is a valid sentence. Inventing €8,500 for a Passat that is €6,200 on site burns the salesperson and the channel.
