WhatsApp for real estate: do not lose the portal lead

How to handle real-estate portal leads on WhatsApp, book viewings, and not leave the listing cold over the weekend.

In a real-estate agency the lead does not wait for Monday’s office. They leave their number on the listing, ask if the flat is still free, and want a viewing on Saturday afternoon. If the agent is showing another property and the chat lives in their pocket, that lead goes to the next ad.

WhatsApp for real estate is answering that alert on an agency number, with someone (or an AI) who replies in minutes and puts the viewing on the calendar.

The product flow is on WhatsApp for real estate.

Where the chats come from (and where they die)

Most messages do not start on your website. They start when someone taps “contact” on a listing on Idealista or Fotocasa — or another portal — and the alert lands on a phone. The agent is in a viewing. On Sunday nobody checks the group. On Monday the flat is “already reserved”… at another agency.

You do not need to change portals. You need that alert not to depend on one iPhone.

The process that actually books viewings

  1. The lead comes in (portal, board, referral, ad).
  2. Immediate reply: “Yes, it is available. Do you want to see it Saturday at 11 or Sunday at 12?”
  3. Short qualification: buy or rent, financing, timeline, area.
  4. Viewing on the calendar + reminder.
  5. After the viewing: next step (offer, second visit, discard) in the same thread.

AI agents cover steps 2 and 3 at 21:00. The human agent brings the keys.

If the lead wrote more than 24 hours ago, there is no free-text “still interested?”. You need a template.

Why one number per agent is expensive

  • The agent leaves and takes the buyer.
  • Two agents step on the same listing without knowing.
  • Management never sees time to first reply.
  • Portfolio campaigns (“price drop”) go out badly and Meta throttles you.

The shared inbox assigns the chat to whoever is free or who covers that area. The internal note (“asks for parking”) does not get lost.

Portals, CRM and WhatsApp

The portal brings the lead. The CRM (or listing software) holds the property. WhatsApp is where the viewing closes. If the agent copies the chat by hand, the CRM lies.

ManyContacts puts the chat at the center and syncs if you already use a CRM. Plan from €49/month (3 users); Meta’s per-message cost is separate (API pricing).

Next step

Take last Saturday’s leads and count how many you answered in under 15 minutes. If the number hurts, try the inbox or book a demo. Checklist on real estate.
