Integrate WhatsApp with HubSpot: the chat has to update the deal
How to connect WhatsApp and HubSpot without copying chats by hand: native inbox, activity on the contact, and rules so you do not duplicate leads.
If you sell with HubSpot and the customer writes on WhatsApp, you have two real systems. The deal sits on a record. The objection sits in a chat. Integrating WhatsApp with HubSpot is making a message move the contact, not having the salesperson paste a screenshot at the end of the day.
The connector page is on WhatsApp and HubSpot.
The classic mistake
The salesperson closes on the phone. HubSpot updates “when there is time”. The weekly pipeline is fiction. Marketing automates emails the lead does not read because they are already in the chat.
A WhatsApp CRM does not replace HubSpot if the team already lives there. It feeds it.
What has to happen on each message
| Event on WhatsApp | In HubSpot |
|---|---|
| New chat from an unknown number | Create contact (or associate if it exists) |
| First human or AI reply | Activity on the timeline |
| “Qualified” tag | Property or deal stage |
| Appointment booked | Task or meeting |
| Close | Deal won / lost |
If you only sync “the last message” and nothing else, the salesperson still will not open HubSpot.
Native inbox vs HubSpot widget
HubSpot can show conversations. Ask in the demo: can two sellers write at the same time without stepping on each other? Are there internal notes? Does the AI qualify against your fields?
ManyContacts is the inbox (shared inbox) and pushes to HubSpot. The chat is the source of truth. HubSpot receives stage and activity.
Lists, opt-in and campaigns
HubSpot lists tell you who you may write to. The blast goes out as templates from the WhatsApp panel, under Meta’s rules. If you fire from a “mobile” field with no opt-in, you burn the number. See opt-in and GDPR.
Price
You pay HubSpot + the WhatsApp panel (ManyContacts from €49/month, 3 users) + Meta messages. The native connector should not be a hidden “per chat” fee.
Next step
Pick a deal you won last week and check whether the WhatsApp thread is on the timeline. If it is not, integrate it for real. Try ManyContacts or book a demo.
